What is this?

Trash is a safety net for deletions. When you delete a supported item — a contact, a campaign, a label, an automation and more — it disappears from the app but isn’t gone yet. It waits in Trash for 7 days, and an admin can restore it during that time. After 7 days it’s permanently deleted automatically. Trash is only available to owners and admins. Team members and support users don’t see the Trash entry in the sidebar, and can’t open the page directly.

What can I do here?

  • See everything that was deleted and is still recoverable, with who deleted it and when
  • See how long each item has left before it’s permanently deleted
  • Restore an item back to where it was
  • Filter by type (contacts, campaigns, labels, and so on) or by status using the tiles at the top

How to use it

Find a deleted item

  1. Click Trash in the sidebar (near the bottom, after File Manager).
  2. Use the tiles to narrow the list:
  3. Use the Type dropdown to show one kind of item only, and Refresh to reload the list.
The table shows each item’s name, type, who deleted it, when, and Permanent deletion — how long until it’s gone for good (“In 5 days”, “In less than a day”, or “Pending permanent deletion”).

Restore an item

  1. Find the item in the list.
  2. Click Restore.
  3. A message confirms it: Restored “name”. The item reappears in its normal place in the app.
Check the Expiring in 2 days tile regularly. Anything there is about to be permanently deleted — restore it now if you still need it.

What goes to Trash

These items are moved to Trash when deleted, and can be restored:
  • Contacts, conversations, and notes
  • Campaigns, labels, canned responses, custom fields
  • Pipelines and pipeline stages
  • Events, event locations, and event products
  • Catalogs and orders
  • Automations
  • AI agents, and their sources, skills, actions, workflows, and route policies
  • AI provider settings
Deleting related items together keeps them together: deleting a contact also moves its conversations and notes to Trash, and restoring the contact brings them back with it.

What is deleted immediately

Some things can’t be undone by a restore, because deleting them changes something outside the platform. These are not sent to Trash and are removed right away:
  • WhatsApp message templates and WhatsApp Flows (they’re deleted at Meta)
  • Catalog products (deleted at Meta)
  • Disconnecting a WhatsApp, Instagram, or Facebook channel, or a Google account
  • API keys, sessions, and custom domains
  • Team members and platform-level objects such as plans and payment providers

Things to know

  • Deleted items are hidden everywhere. They don’t appear in lists, search, or reports, and AI agents no longer use a deleted knowledge source, while it’s in Trash.
  • Labels: deleting a label removes it from contacts straight away. Restoring the label brings the label back, but not which contacts had it.
  • Custom fields: the values stay saved on contacts (hidden) while the field is in Trash, so restoring it loses nothing.
  • Names can be reused. You can create a new item with the same name as one in Trash — but then the deleted one can’t be restored while the name is taken.

Troubleshooting / Technical Notes

  • I don’t see Trash in the sidebar. It’s only shown to owners and admins. Ask an admin to restore the item for you.
  • “Trash is only available to admins.” Your role doesn’t have access. See Team for roles.
  • Restore is greyed out or fails. Restore is refused when the 7 days have passed, when the item’s parent is still in Trash (restore the parent first — for example a pipeline before its stages), or when a live item has taken the same name (rename or delete that one first, then restore).
  • An item I deleted isn’t listed. It may be one of the items that’s deleted immediately, or it may have been deleted more than 7 days ago and already permanently removed.
  • You only see items from your own channels. Trash lists items belonging to channels you created; items in other admins’ channels appear for those admins.
