# Team, Locations & Calendar

> Add the people who take bookings, set their working hours and places, and sync their Google Calendar so busy times are never offered.

## What is this?

Customers can only book a time when a person is free to take it. These three tabs on a service decide who that is, where they work, and what's already busy:

* **Team** — who takes this service, and their working hours
* **Locations** — the places you work from (shared by all services)
* **Calendar** — link each person's Google Calendar so bookings appear on it and busy times are blocked

\[SCREENSHOT: booking-studio-team-tab — The Team tab listing each person with their working hours, status, and an edit button]

## What can I do here?

* Choose which team members take a service, and how customers choose between them
* Set each person's title, photo, bio, working hours, and days off
* Give a person their own length for a service, or a specific location
* Add and edit locations, and say which ones a service uses
* Link a Google Calendar to each person

## How to use it

### Team

Open a service and go to **Team**. Only people who are assigned can be booked, and a service can't be published without at least one.

**How customers choose** decides what customers see:

| Option | What customers see |
| - | - |
| **Customer chooses who** | A list of people. They must pick one. |
| **First available person** | The list of people, plus an **Any professional** option that offers the most times |
| **Do not show people** | No choice and no names. Whoever is free takes the booking. |

The step only appears when there's something to choose — for example, more than one person.

For each person you can also set:

* **Location** — a specific place, or **Any location**
* **Own length (min)** — a different length for this person (5 minutes to 24 hours)

Click a person to edit their profile.

### Edit a person

A person's settings apply across all services they take:

| Setting | What it does |
| - | - |
| **Photo** | Shown on your booking page |
| **Professional title** | Shown to customers, for example *Stylist*, *Doctor*, *Consultant*, or *Instructor* |
| **About** | A short bio, up to a few lines |
| **Takes bookings** | Switch off to pause this person without removing them |
| **Time zone for these hours** | Working hours are written in this time zone |
| **Working hours** | For each day, open or closed. Add several intervals in one day; the gap between them is a break. **Copy to open days** repeats one day's hours on every open day. |
| **Special days** | A day off, or different hours for one date |

> [!WARNING]
>
> A person with no working hours can't be booked. The list shows **Not set up** until you add them.

The list shows each person's hours summary and whether they're **Takes bookings** or **Paused**.

### Locations

Locations are shared by every service. Open the **Locations** tab and click **Add location**.

| Field | What it's for |
| - | - |
| **Name** | For example *Downtown branch* or *Room 2* |
| **Address**, **City**, **State or region**, **Country**, **Postal code** | Where it is. Customers get a map link on your booking page. |
| **Phone** | A number for this place |
| **Time zone** | Leave as the business time zone unless this place is elsewhere |
| **Active** | Switch off to hide a location |

Each row also shows whether the location is **Offered here** or **Not offered here** for the service you're viewing. A location is offered when an active person who takes the service is tied to it, or works at any location. Choose a person's place on the **Team** tab.

### Calendar

Linking a Google Calendar keeps bookings and your calendar in step. First connect Google — see [Google](/workspace/google/overview.md). If it isn't connected, the tab says **Google is not connected** and links to **Open Settings**.

Then, on the **Calendar** tab (or in a person's settings), pick the person's **Linked calendar** and a **Calendar sync** mode:

| Mode | What happens |
| - | - |
| **Off** | No sync |
| **Add bookings to the calendar** | A confirmed booking becomes an event on that calendar, and is removed if cancelled |
| **Add bookings and block busy times** | The above, **and** anything already on that calendar blocks those times so customers can't book them |

\[SCREENSHOT: booking-studio-calendar-tab — The Calendar tab with each person's linked Google Calendar and sync mode]

Events Booking Studio adds are ignored when it checks for busy time, so a class never blocks itself. If the calendar can't be reached, the booking still goes through.

## Troubleshooting / Technical Notes

* **A person doesn't appear to customers.** Check they're assigned on the **Team** tab, **Takes bookings** is on, and they have working hours.
* **The service can't be published.** Assign at least one person.
* **Times are wrong by some hours.** Check the service's time zone and the person's working-hours time zone.
* **"Connect your Google account in Settings to link a calendar."** Connect Google first — see [Google](/workspace/google/overview.md).
* **Busy calendar times are still offered.** Set the sync mode to **Add bookings and block busy times**.
* **A location says "Not offered here."** No active, assigned person is tied to it or works at any location. Choose the location for a person on the **Team** tab.
